We are looking for a friendly and engaging Health and Safety Administrator to join our team in this exciting and integral new role. This position is 30 to 37.5 hours, four to five days a week. It is based at the Ripon surgery, but attendance at our other sites will be necessary to deliver and oversee health and safety responsibilities. The role involves the delivery of Health and Safety processes within an independent veterinary practice setting.

The successful candidate must understand and uphold the practice’s CARES values in all their behaviours and interactions and practise and promote our health and safety policies. They must believe health and safety to be a vital part of effective business management and be able to practically translate that into a busy, perpetual veterinary environment to effectively engage the wider team. Excellent prioritisation and time management skills and strong, constructive communication skills are essential with the need to be self-driven and reliable.

Full Job Description

MAJOR PURPOSE OF JOB To support the Logistics and Health and Safety Partners and Veterinary Business Manager in the administration and delivery of Health and Safety processes across the practice to ensure legal compliance, maximise efficiency, use resources economically and enhance team culture.

LOCATION OF JOB This job is based at the Ripon surgery but will also require attendance at all branch sites.

HOURS OF WORK 30-37.5 hours/week (4-5 days/week)

LINES OF AUTHORITY Responsible to the Veterinary Business Manager

MAIN DUTIES (these apply across all sites)

Health and safety visits

  • Ensuring availability for annual Health and Safety consultant visits and implementing required actions; filing relevant paperwork

  • Maintaining annual fire risk assessments, whether internally, or externally through Health and Safety consultants, implementing required actions and making them available to the relevant team members; filing relevant paperwork

  • In conjunction with the fire risk assessments, ensuring the fire plans and evacuation procedures across all sites are kept up-to-date and adapted as necessary

  • Maintaining bi-annual legionella risk assessments via external Health and Safety consultants and implementing required actions; filing relevant paperwork

Regular Health and Safety Checks

  • Perform annual health and safety reviews using the checklists provided - Perform periodic health and safety checklists every 6 months

  • Perform and record regular Legionellosis checks at the different required frequencies - Perform weekly fire alarm checks

  • Perform weekly smoke detector checks and annual battery change, or monthly smoke detector checks as required

  • Perform monthly fire door checks

  • Perform monthly emergency lighting checks

  • Perform monthly fire extinguisher checks

  • Perform monthly first aid kit checks and maintain central stock provision

  • Perform annual first aid needs assessments across all sites

  • Arrange 6mthly fire alarm servicing checks

  • Perform and/or schedule 6-monthly fire drills across all sites

  • Arrange annual fire alarm services

  • Arrange annual emergency lighting checks

  • Arrange annual air conditioning maintenance

  • Arrange annual boiler servicing

  • Perform annual driving licence checks, including for new starters, in conjunction with the HR administrator

  • Arrange and supervise bi-annual PAT testing

  • Perform 6mthly stepladder checks

  • Ensure annual inspection certificates received for Ripon and Northallerton outside gas tanks

  • Schedule annual intruder alarm and access control checks

Training

  • Maintain and enhance external team first aid and fire safety/fire warden training across all sites

  • Re-start online health and safety training modules for all staff according to roles; maintain training records and renew at appropriate frequencies

  • Implement, maintain and file employee Health and Safety Induction Training Records in conjunction with the HR Administrator and Team Leaders

  • Implement, maintain and file contractor Health and Safety Induction Training Records - Implement new starter training in use of practice vehicles and promote use • First aid provision and accident/near-miss/hazard reporting

  • Perform annual first aid needs assessments

  • Ensure consistent first aid provision across all sites and central fleet according to need - Perform monthly first aid kit checks (including fleet)

  • Promote accident, near-miss and hazard reporting via the BrightSafe system and implement appropriate follow-up promptly in line with external advice

Risk assessments

  • Support minimum of annual review of risk assessments as a shared responsibility throughout the management team

  • Ensure team members, including new starters, are made aware of, have access to and understand all risk assessments relevant to their role and working environment. - Perform independent risk assessments, along with the HR administrator and team leader, for young workers, new and expectant mothers and team members with disabilities or additional needs (including PEEPs)

Fleet

  • Maintain MOTs for all of central fleet

  • Add and remove car insurance for central fleet as required

  • Add and remove breakdown insurance for central fleet as required

  • Perform and/or schedule relevant periodic fleet checks

  • Ensure fleet kitted appropriately, including for new starters and maintained - Maintain pool van folders

  • Keep and file all relevant records

  • Administrate fleet tracking systems

Questionnaires and checklists (including all required follow-up)

  • Maintain DSE questionnaires

  • Implement night workers questionnaires

  • Implement contractors questionnaires
